Abbreviations (those are the shortened forms of words) can be difficult to understand. Only use them if you know that your readers will understand them. You might even like to spell them out the first time you use them in an email or letter if you really want to use them later in the text.

Boxes

The factory foreman inspected a shipment of crystal vases leaving the plant, and approached his new packer. He put his arm around the man’s shoulder and said, “Well, Ole, I see you did what I asked. You stamped the top of each box, ‘This Side Up, Handle With Care.’”

“Yes sir,” the worker replied. “And just to make sure, I stamped it on the bottom too.”

Managing your time

You’ll find lots of ideas on how to improve your time management skills in Harold Taylor’s checklist. I’m working on number 21 at the moment: “Don’t keep shuffling papers; handle each item only once whenever possible. Do it, scrap it, file it, delegate it or schedule a time to do it later.” And you?

I could have written, “Look what I have done” in today’s heading, but I chose to add a contraction. In this example sentence, I formed one word (I’ve) by joining two together (I have) and dropping some letters and adding an apostrophe.

Why did I do it? To make my writing less stuffy and more natural. It’s what I would say to you if we met in person.

Here’s my list of common contractions. Do you know them all? Do you use them?
